These Terms and Conditions apply to any tours booked with Tranquil Safari, a family-owned travel company based in Arusha, Tanzania. By booking a tour with Tranquil Safari, you agree to follow these terms, which outline the agreement between you and Tranquil Safari. Please read them carefully. When you book, you confirm that you understand and accept these terms for yourself and anyone else in your group. The person making the booking is responsible for ensuring everyone in the group agrees to these terms.
Deposits and Final Payment
To confirm your tour with Tranquil Safari, you need to pay a 15% deposit to secure your spot and allow us to start preparations. We’ll send payment instructions by email. The remaining balance must be paid at least 6 weeks before your tour starts. If you book within 6 weeks of the tour, the full amount is due at booking. All payments must be made without any bank fees or credit card charges.
Booking Agreement
Your booking is confirmed once Tranquil Safari receives your deposit and sends you written confirmation. The person making the booking must be at least 18 years old and provide complete, accurate information as requested. If booking for multiple people, you confirm that:
- You have the authority to book for everyone in your group and have shared all necessary details with them.
- All information provided about your group is accurate, and you have permission to share it with Tranquil Safari.
Cancellation PolicyIf you need to cancel your tour, you must notify us in writing. Cancellation fees, based on when we receive your notice, are as follows:
- 61+ days before departure: Loss of deposit
- 60–45 days: 25% of total tour cost
- 44–29 days: 60% of total tour cost
- 28–7 days: 90% of total tour cost
- Less than 7 days: 100% of total tour cost
Since Tanzania no longer requires a negative PCR test for entry (unless unvaccinated), we cannot offer flexibility on these cancellation terms. If we cancel your tour, which is rare, it will only happen less than 60 days before departure due to unavoidable circumstances beyond our control (like force majeure*). In such cases, we’ll offer you a similar alternative tour within the same period. If the alternative is cheaper, we’ll refund the difference; if it’s more expensive, you’ll need to pay the difference. You can also choose a full refund of payments made to us. We cannot cover additional expenses or losses caused by the cancellation.*Force majeure refers to events beyond our control, such as war, terrorism, natural disasters, epidemics, government actions, or extreme weather, which we couldn’t predict or avoid.
Travel Insurance
Tranquil Safari does not provide travel insurance. You must purchase your own travel insurance from your home country, including at least medical coverage, evacuation, and repatriation. We strongly recommend adding coverage for cancellations, delays, or other unexpected issues. Make sure your insurer knows the type of travel you’re undertaking to ensure proper coverage.
Medical Conditions
You must provide accurate medical information when booking. It’s your responsibility to determine if you’re fit to join the tour and consult your doctor about vaccinations or medical precautions. Tranquil Safari tours visit remote areas of Tanzania where medical facilities may not match those in your home country. We make no guarantees about the quality of medical care in these areas.
Special Requests
We’ll do our best to meet special requests, like dietary or accommodation needs, but these are not guaranteed and are not part of this agreement. Tranquil Safari is not responsible if we cannot fulfil these requests.
Prices, Surcharges, and Taxes
Tour prices may change due to factors like increased costs for accommodation, transport, fuel, taxes, or park fees. We may add a surcharge for significant cost increases, but only up to 30 days before your tour. If a surcharge is needed, we’ll notify you as soon as possible. You can either:
- Cancel your booking without penalty, or
- Accept the new price.
You must inform us of your choice within 14 days of our notice, or we’ll assume you accept the price change and are responsible for paying it.
Itinerary Changes
Adventure travel in Africa requires flexibility. By booking with Tranquil Safari, you agree to allow reasonable changes to the tour itinerary, such as routes, schedules, accommodations, or transport, due to unforeseen issues like weather, mechanical problems, or political events. We’re not responsible for missed services due to your actions or circumstances beyond our control. While we aim to follow the planned itinerary, we may adjust it if needed and are not required to notify you in advance or offer refunds for changes. If accommodation becomes unavailable due to reasons beyond our control, we’ll provide an alternative of equal or higher quality.
Risk
Our tours involve adventurous activities and travel to remote areas, which carry risks to your health and safety. By booking, you accept these risks and release Tranquil Safari from any claims related to injuries, damages, or losses caused by these risks. Hygiene, accommodation, and transport standards in some areas may be lower than what you’re used to. We’ll provide guidance on local customs, safety, weather, or laws to the best of our ability, but you’re responsible for following this advice. You must comply with Tanzania’s laws and regulations. If your behaviour endangers others or violates laws, we may end your participation without a refund, and you’ll be responsible for any related costs. You agree to take reasonable safety precautions, like using seatbelts or helmets, and following posted signs. Tranquil Safari and its suppliers are not liable if you fail to follow safety instructions.
Complaints
If you have a complaint during your tour, contact our management at info@tranquilsafari.com or +255 747 541280. Complaints after the tour must be submitted in writing within 30 days of the tour’s end.
Third-Party Suppliers
We work with third-party providers (e.g., airlines, accommodations, guides) to deliver your tour. While we choose these suppliers carefully, we don’t control or supervise them and aren’t responsible for their actions or failures. Tranquil Safari is not liable for any inconvenience, loss, or distress caused by third-party suppliers.LiabilityTranquil Safari is not responsible for damages, expenses, or claims caused by your actions, third-party errors, or force majeure events. We’re not liable for lost, stolen, or damaged belongings. You’re responsible for keeping your personal items safe at all times.
Force Majeure
If unforeseen events like natural disasters, war, or government actions prevent us from fulfilling our obligations, we’re not liable for delays or cancellations. We may adjust or cancel bookings at our discretion and will try to refund you where possible, after deducting our reasonable costs.
Images and Marketing
We may use photos or videos taken during tours for marketing purposes. By booking, you consent to this use and allow Tranquil Safari to retain copyright over these materials.
Amendments
We may update these Terms and Conditions at any time. Changes will be posted on our website and take effect 10 days later. You’re considered to have accepted the updated terms 10 days after they’re posted. Check our website for the latest version before your tour.
